How the AI answers a call
Front DeskWhen someone calls your number, the AI answers on the first ring in your business name and holds a real conversation rather than reading a menu of options. Its answers come from your knowledge: the hours, services, prices, and policies you approved. It does not invent anything beyond that, which is deliberate, because a confident wrong answer damages you more than an honest "let me take a message". What it can actually do on the call is controlled by its skills: answering questions, booking into your live calendar, taking a pickup order from your real menu, and texting approved links. Two rules never change regardless of configuration. It says it is an AI when asked, and it transfers to a person the moment a caller wants one. It also never asks for card details, sending a secure link instead.
What happens on a call
- 1
It answers immediately
There is no queue and no hold. Several people calling at once are all answered at once, which is the difference that matters most during your busiest hour.
- 2
It works out what they want
A natural conversation rather than a phone tree. Callers can interrupt, change their mind, and ask follow ups, and the AI keeps up.
- 3
It answers from your knowledge
Hours, prices, services, policies: whatever you approved. Anything outside that gets an honest "I do not know", plus an offer to take a message or transfer.
- 4
It completes the job if it can
Booking into your live calendar, recording a pickup order from your real menu, or texting a link such as your menu or booking page.
- 5
It hands over when it should
Ask for a person and it transfers to your contact number, passing along what was already discussed so nobody has to start over.
- 6
It writes everything down
A full transcript with a summary appears in your dashboard within seconds, along with any booking or order that came out of the call.
What the AI will never do
- Ask for or accept card details on a call. Payment always goes out as a secure link instead.
- Claim to be human. It says it is an AI whenever asked.
- Refuse to hand a caller to a person who asks for one.
- Quote a price or an item that is not in your menu or knowledge.
- Keep an audio recording. Calls are transcript-only.
Questions
- Can the AI handle several callers at the same time?
- Yes, and this is one of the clearest advantages over a human answering service. The fifth simultaneous caller during your rush is answered as quickly as the first, where any human team would be putting people in a queue.
- What happens if the AI does not understand someone?
- It asks them to repeat or rephrase, the way a person would. If it still cannot help, it offers to take a message or transfer to you rather than guessing at what they meant.
- Can callers tell it is an AI?
- Many can, and the AI never pretends otherwise: it confirms it is an AI whenever asked. In practice most callers care about getting an answer and a booking without waiting on hold, and a caller who would rather speak to a person is transferred immediately.
- Does it work outside business hours?
- Yes, at the same per minute rate, with no after hours premium. Outside your opening hours it answers, gives the information it can, and takes a message or a booking for when you are open, based on the hours in your knowledge.
